Life Group (Small Group) Coordinator/ Office Assistant

Job Summary

To be responsible for organizing, developing, and promoting the Life Group ministry for the purpose of discipleship and connections as well as assisting the Office Administrator with the clerical and secretarial needs of the church and filling in during their absence

Schedule

The work week will consist of two (Ideally Monday, Tuesday) 6- hour days (9am- 3pm) in the office.  Employee will be expected to perform tasks outside of office hours as needed to fulfill certain duties as the Life Group Coordinator.

Primary Responsibilities

Life Group Coordinator Responsibilities:

  • Develop an effective system for connecting people to appropriate small groups.
  • Recruit and train new group facilitators (leaders).
  • Oversee communication of information for group participants and leaders.
  • Organize and execute an annual small group leader training.
  • Organize and execute Life Group events such as Entry Point Sunday, a spring and fall Facilitator Gathering, and other special events throughout the year.
  • Oversee and assist group leaders in updating their information in the Groups section in Planning Center.
  • Attend regular staff meetings and update staff on any changes and/or additions to Life Groups, leaders, and related events.

Office Assistant Responsibilities:

  • Manage and maintain the daily operations of the church office. 
  • Assist individuals who visit or contact the church office by answering their questions in a positive pleasant manner or referring them to the appropriate staff person. 
  • Work directly with leaders in coordinating the church master calendar.
  • Assist in counting and verifying weekly offerings. This may include making bank deposits in the absence of the Office Administrator.
  • Maintaining and verifying Sunday Worship attendance records.
  • Assist individuals in following church policies developed by staff/trustees/deacons. 
  • Coordinate the process of Church communication documents which currently includes the weekly Exchange, and all other documents deemed necessary by staff and/or leadership.
  • Work directly with Church membership information. Update member information in Planning Center and assist church clerk and office administrator in performing duties related to maintaining current membership roster.
  • Assist the visitor follow-up team with their functions. 
  • Operation of electronic data systems in the daily task of organizing and implementing church business. Assist in producing letters, reports, records, etc. as needed for program staff and church officials.

Expectations

  • Employee shall also perform other duties as assigned which are incidental or
    implied and consistent with the background, training, and qualifications of employee.
  • Employee will conduct themselves in a professional manner. 
  • Employee is encouraged to regularly attend Porterfield Baptist Church worship services.  
  • Employee shall attend Staff, Trustee, and Business meetings of the church if requested.  
  • Employee shall keep current and spiritually open to effective church administrative ministry practices. (For example: Continue developing God given gifts and professional skills and abilities through prayer, scripture study, conference enrichment, etc.)  

Additional Terms

  • Compensation: Will be determined by PBC Trustee Ministry Team with Church approval and reviewed annually.  Compensation is based on expectations of part-time employment devoted to fulfilling the responsibilities of this position at an annual salaried rate.
  • Benefits: As an annual salaried position, employee is eligible for paid vacation, sick leave and compensatory time as specified in the Porterfield Baptist Church Standard HR Policy. 
  • Evaluation: Annual evaluation will be conducted according to church policy.
